Job Description

The Senior Administrative Assistant performs a variety of administrative duties for the Movement Disorder marketing team, including a variety of tasks that require planning and organization to meet deadlines and quality standards. 

  • Provides advanced administrative support to a marketing team of 8-9 individuals.
  • Prepares complex written documents, spreadsheets and presentations.
  • Efficiently schedules department meetings, events and internal conferences.
  • Serves as an important interface with outside parties 
  • Supports department expense management: monitors expenditures and prepares expense reports as needed
  • Makes travel arrangements, both domestic and international, and manages calendars
  • Process payment of invoices, as needed
  • Completes other projects and duties as assigned or as business needs require
  • Facilitates communications by answering phones, posting overnight packages
  • Organizes workload to comply with deadlines and priorities.  Works independently to complete routine department functions


  • High School/GED required; Associate Degree or equivalent preferred
  • Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 3+ years related experience
  • 2+ years budget support
  • 1+ year experience in a pharmaceutical environment desirable
  • Experience with meeting coordination and planning preferred
  • Must have high level of interpersonal skills to ensure accurate flow of all information
  • Excellent organizational and follow-up skills required
  • Must work effectively with all levels of the organization domestic and international
  • Specialized or Technical Knowledge Licenses, Certifications needed:
    Secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment; proficiency in MS Word, PowerPoint, Excel and Outlook
