Job Summary
The F. Joseph Halcomb III, M.D. Department of Biomedical Engineering is seeking an Assistant to the College Business Analyst and Department Chair. The candidate selected for this position will assist with critical responsibilities that support the College Business Analyst and Department Chair. This position will work closely with the College Business Analyst in payroll and labor distribution reporting, assist with monitoring student payroll and run reports to ensure efficient and timely processing. Prepare and process procurement card expense reports. Create SRM Shopping Carts/Ariba purchases; place procurement card orders/purchases. Create PRD’s, assist with creating/processing JV’s as needed. Assist the department’s seminar series coordinator with seminar speakers’ travel/lodging accommodations, make reservations for guest parking on campus; gather and guest/seminar speaker abstracts for posting to the department and College of Engineering’s weekly calendar. Assist faculty, staff and students with travel requests — books flights and hotels as needed. Assist the College Business Analyst with reconciliation of all cost centers for the department. Office core responsibilities to include: Assist with day-to-day operations as needed, provide reception for the department’s main office. Acts as the department’s safety lab liaison with BioRaft. Make reservations for the department/Grehan conference rooms as requested. Take and distribute BME Faculty Meeting minutes. Process and schedule Surplus requests. Report rubrics for student seminar presentations. Process annual space and equipment inventories.

The successful candidate will have excellent organizational, customer service and communication skills, the ability to multitask with strong attention to detail, the ability to prioritize projects, and maintain accuracy. This person will be one of the first points of contact for the department.

Microsoft Office Suite (proficiency in Microsoft Excel), SAP, Tableau, Pivot Tables, Zoom.
